The Position:

The Executive Assistant provides administrative assistance and support to the Executive Vice President.

PAY RANGE STARTING AT $52,000-$65,000.

DISCRETIONARY TARGET BONUS OF 7%.

Responsibilities:

  • Managing EVP calendar and set up meetings.
  • Oversee visitor pass approvals.
  • Screens and directs phone calls and distributes correspondence.
  • Organizes and maintains the office filing system.
  • Coordinates travel to include airfare, car, and hotel reservations in accordance with Company policy and reconciles travel billing.
  • Manages Company vehicle fleet requests.
  • Develops, monitors, and processes executive expense reports.
  • Orders catering, schedules all staff meetings, coordinates room set-up.
  • Tracks payments and record keeping of Company memberships and subscriptions with trade affiliations.
  • Manages company gifts and donations.
  • Plan, coordinate and participate as directed in on-site and local off-site meetings.
  • Maintain, scan, and index various agreement files and documents retrieval system.
  • Participate in the planning and execution of department level and company- wide events, to include arranging locations, selection of vendors, sending necessary communications, and other functions to ensure events run smoothly.
  • Research and compile reports, proposals and presentation materials as needed.
  • Record and distribute assignments of deliverables from group and committee meetings.
  • Provides other miscellaneous administrative assistance as required.

Requirements:

  • Associate's degree or equivalent from a two-year college or technical school.
  • Six months to one year related experience supporting an executive team preferred.
  • Ability to read and interpret documents and write routine reports and correspondence.
  • Must be capable of using personal computers and Microsoft software, including advanced usage of Word, Excel, PowerPoint and Outlook.
  • Must be capable of learning how to use the Prism, PeopleSoft, and various other ancillary systems.
  • Assertive and goal oriented with a positive attitude.
  • Must be organized and capable of handling multiple tasks/projects.
